We are seeking a dedicated Receptionist/Administration Assistant to join Boeing Poland in Rzeszow.
As a Receptionist/Administration Assistant at Boeing Poland, you will play a vital role in creating a welcoming and efficient front of house environment. In addition to the general administrative responsibilities, you will be responsible for managing the reception area, greeting visitors, and providing administrative support to various departments. This is an exciting opportunity for a friendly and organized individual to contribute to the success of our company.
Position Responsibilities
- Front of House Management: Create a positive and professional first impression by greeting and welcoming visitors, clients, and vendors in a friendly and courteous manner
- Office Management: Maintain a clean and organized reception area, ensuring supplies are stocked, and office equipment is in good working condition
- Document Handling: Manage and organize company documents, including filing, scanning, and archiving records as necessary
- Scheduling: Assist in scheduling meetings, appointments, and travel arrangements for company executives and staff
- Communication: Handle incoming and outgoing correspondence, including emails, phone calls, and mail, and redirect inquiries to the appropriate team members
- Data Entry: Accurately input data into company systems, spreadsheets, and databases
- Support Departments: Collaborate with various departments to provide administrative assistance, such as HR, finance, and operations
- Event Coordination: Assist in planning and coordinating company events, workshops, and meetings
- Expense Management: Help track and reconcile expenses, prepare reports, and assist in budget monitoring
Qualifications:
- Previous experience as a receptionist or in administrative roles is preferred
- Proficiency in office software (e.g., Microsoft Office Suite)
- Excellent organizational and time-management skills
- Strong attention to detail and accuracy
- Effective communication skills, both written and verbal in both English and Polish language
- Ability to handle confidential information with discretion
- Flexibility and adaptability in a fast-paced environment
- Knowledge of the aviation industry is a plus
This position is expected to be full time onsite. The selected candidate will be required to work onsite in Rzeszow, Poland.
